    We are looking for a responsible Executive Assistant to support the CEO.  This assistant will provide high-quality, dedicated C-level support by managing the CEO’s calendar, travel, expenses, projects and initiatives, correspondence and other duties as assigned.  In addition, this assistant will manage Board of Directors meetings, with direct responsibility for Board materials, meeting logistics, software updates, travel and correspondence.    This assistant will organize all Senior Leadership activities and meetings, and act as a liaison for the CEO at all times with diverse groups of people.

     

    Responsibilities

    • Manage the CEO’s daily calendar, including scheduling meetings and travel planning
    • Manage executive budget and expense reporting for the CEO
    • Manage and coordinate Senior Leadership team meetings, correspondence and activities; maintaining a regular calendar and cadence and tracking decisions and action items
    • Oversee and independently manage all aspects of Board of Directors meetings, including content, materials, presentations, Board software, logistics, travel and correspondence
    • Create content, materials and presentations for Board and other meetings
    • Author and facilitate internal and external communications and correspondence
    • Manage sensitive information with discretion and confidentiality
    • Act as a liaison to the CEO with the Senior Leadership team and all other employees 
    • Manage the executive and administrative budgets to maintain good stewardship, while continually seeking opportunities for additional savings or cost reduction
    • Supervise the front desk receptionist

     

    Requirements

    • At least five years’ experience providing C-Level executive support, preferably within large organizations
    • Expert-level user of Microsoft Office, with specific focus on Outlook, Excel and Powerpoint
    • Outstanding verbal and written communication skills
    • Self-starter; Highly energetic with a positive attitude and proactive approach
    • Ability to work independently and prioritize workload to meet the business needs
    • Experience exercising discretion and confidentiality with sensitive company information
    • Excellent organizational skills with a high level of attention to detail
    • Bachelor’s Degree or equivalent experience
